The fundamental step for any digital transformation project
These days, terms like “digital transformation”, “the 4th industrial revolution”, “blockchain”, “digitization”, “big data”, “artificial intelligence AI” have become emerging topics among technology-business conferences, press and forum in Vietnam and globally.
Organizations wish to transform their business into the Digital Era where processes are automated, with real-time and transparent information. Many platforms, products, technology solutions are introduced to the market following these digital trends. In order to implement these solutions; each and every organization needs QUALIFIED DATA. Qualified data can be defined as data which is sufficient, correct, and, timely or real-time for many organizations.
These days, with the help of technology, people can input data electronically, for example, customers can fill out an application form online. However, not all people in all regions favour it that way. Writing, paper, live signatures are still favoured not to mention yet the legal requirements. In Vietnam, for example, due to some legislative reasons, companies normally archive physical documents for years and in big quantity.
Some companies archive documents in their own office, some ask for support from archives partners. Archiving documents physically can actually face many risks (e.g. damages caused by water, fire, insects; self-destructive paper through time). Moreover, when archiving this way, looking for on particular document can be a miserable task especially when documents are unsystematically archived or remotely archived. More importantly, with analogue, it is impossible to make use of mass data, e.g. for business and marketing analysis.
All of these create a need for an electronic version of data or digital data.
The process of producing digital data is called digitization (digitisation) which is any process of transforming a document from analog or paper version into electronic version. Scanners are typical devices to perform the task. In the last days, after scanning a document (e.g. an invoice), people can get an image of that invoice. These days, with the advance of technologies, we can already move on step forward to make that electronic image version become a searchable PDF in some seconds. This means that data can be copied/extracted data easily.

However, there is no guaranty that these techniques can extract all types of data correctly. In this case, organizations need a back-office team to manually key and verify data.
